As our Vendor and Expense Program Specialist, you’ll support HID’s success by: 

  • Creating new vendor records and updating existing records in the company's financial system.
  • Acquiring and reviewing vendor information, including contact details, tax identification numbers, and payment terms ensuring accuracy, completeness and compliance with internal policies and external regulations.
  • Verifying all banking information in accordance with policy and working to drive electronic payments.
  • Working with procurement, vendors and internal departments to ensure vendors are set up or modified timely and accurately.
  • Processing USPS mail and assist with management of AP mailbox.
  • Supporting AP team on vendor setup related issues, researching and resolving where required.
  • Contributing to the continuous improvement of the vendor maintenance process by identifying opportunities to streamline processes and maximize efficiencies.
  • Setting up employee Concur profiles, ordering new corporate cards and P-cards for employees and closing cards issued to terminated employees.
  • Receiving and distributing new corporate and procurement credit cards.
  • Ensuring all card holders are provided with policies, and the employee credit card agreements are signed before issuing new credit cards.
  • Actively monitoring and managing credit card limits for all employees.
  • Providing customer support to card users; enforcing the card policies, practices & procedures.
  • Troubleshooting problems and addressing T&E ServiceNow tickets. 
  • Acting as a point-of-contact for corporate card program, P-card program and T&E/Concur inquiries, problems, suggestions, and for the issuing institution(s).
  • Acting as global liaison with Concur including opening cases with Concur and participation on monthly Concur calls.
  • Building solid relationships across all business units and various levels of management, providing and garnering cooperation and positive interaction with co-workers.
  • Leading global process efficiencies, improvements and projects.
  • Additional responsibilities to be determined as needed.
  • This position may require regular overtime beyond the standard schedule to support the workload demands.

 

Your Experience and Background include:  

  • Must possess an AA degree in Accounting, or an equivalent combination of education and relevant work experience.
  • 3 - 5 years of Accounts Payable and Travel & Entertainment program experience.
  • Ability to work independently and take ownership of multiple concurrent and diversified tasks, while working with deadlines.
  • Strong problem solving and analytical skills.
  • Proven ability to work in a team-oriented environment.
  • Advanced MS Excel a plus.
  • Detail oriented.
  • Proficient in MS Office applications, such as Word, Excel, PowerPoint, etc.
  • Familiar with operating systems, such as Windows, etc.
  • Comfortable with advanced ERP systems such as Oracle
